Privacy Policy

KidTally is used by program staff to record attendance and pickups. This policy explains what we collect, why, and the choices you have. We never sell family data.

Information we collect

Child information that a program enters: name, group or class, guardians, and custody/pickup notes. Guardian information: name, relationship, and contact details for notifications and pickup verification. Staff accounts: name and email for the people who use the app. Activity records: check-ins, check-outs, pickup codes, roll calls, and an audit log of safety-relevant actions.

How we use it

To provide the service: verify pickups, warn staff about custody restrictions, run roll calls, send notifications you enable, and produce attendance and audit exports. We use limited, aggregated, non-identifying data to operate and improve the product.

We never sell family data

We do not sell or rent child or family data, and we do not use it for advertising. We share data only with the sub-processors needed to run the service (for example, hosting, email, and SMS providers) under agreements that require them to protect it.

Children's privacy (COPPA / FERPA)

KidTally's account holders are adults — program staff and, where applicable, parents. The service is not directed to children and children do not create accounts. Programs act as the data controller for the children's information they enter; KidTally processes it on their behalf. Where FERPA or state childcare rules apply to a program, the program is responsible for its own compliance and can use our exports to meet recordkeeping requirements.

Data retention & deletion

We retain program data for as long as the account is active and as needed to provide exports and audit history. A program can request deletion of its data; some records may be retained where required by law or a program's own licensing obligations.

Security

Data is encrypted in transit and at rest, staff access is role-based, and safety actions are written to an immutable audit log. See our Security page for details.

Your rights & choices

Depending on where you live, you may have rights to access, correct, or delete personal information. Program staff can update or remove records in the app; parents can contact their program, or us, to make a request.

Data breaches

If a breach affecting personal data occurs, we will notify affected programs promptly and as required by applicable law, and work with them on next steps.
